Explain the purpose

Show what you need and why it matters for the product. Avoid a long generic questionnaire when a few targeted records can answer the question.

Ask in the right unit

Specify the relevant product, material or batch and the required document period. Provide examples of acceptable records without implying that any document proves the claim.

Assign ownership

Identify one contact on each side and agree how questions or unavailable information will be handled.

Track the response

Record requested, received, clarification needed and missing. Attach the response to the supplier and product it belongs to.

Close the loop

Give suppliers feedback on what is usable and what needs clarification. Use the agreed follow-up process rather than repeated unstructured messages.
